Welcome to EventMoot

EventMoot is a collaborative event planning platform that makes it easy to coordinate schedules, gather preferences, and finalize plans with your group. Whether you're organizing a game night, a one-shot adventure, or recurring campaign sessions, EventMoot helps you find the perfect time for everyone.

Key Concepts

Before diving in, here are the core concepts you'll encounter:

Events

Events are the foundation of EventMoot. Each event contains one or more polls that gather input from your attendees. Events go through a lifecycle:

  1. Draft - Create and configure your event
  2. Active - Publish and collect responses
  3. Finalized - Lock in the final time and notify attendees
  4. Cancelled - Event is cancelled (can happen at any stage)

Polls

Polls are questions attached to your event. EventMoot supports 7 poll types:

  • Date Selection - Find the best date and time
  • Single Choice - Pick one option
  • Multiple Choice - Select multiple options
  • Yes/No - Simple binary questions
  • Text Response - Open-ended feedback
  • Ranking - Order items by preference
  • Rating - Rate items on a scale

Moots (Groups)

Moots are persistent groups for recurring coordination. Perfect for:

  • TTRPG groups with regular sessions
  • Gaming parties that gather weekly
  • Any group that needs ongoing scheduling

Creating Your First Event

Let's create a simple event to see how EventMoot works.

Step 1: Start the Event Wizard

  1. Click Create Event from the dashboard or navigation
  2. You'll enter the event creation wizard

Step 2: Fill in Event Details

  • Title - Give your event a descriptive name
  • Description - Add context about what you're planning (optional)
  • Location - Where will it happen? (optional)
  • Virtual Link - Add a Discord, Zoom, or other session link (optional)

Step 3: Add Your Polls

Click Add Poll and choose your poll type. For scheduling, the Date Selection poll is most common:

  1. Select potential dates from the calendar
  2. Add time slots for each date
  3. Attendees will indicate their availability for each option

Step 4: Review and Publish

  • Review your event details and polls
  • Click Publish to make the event live
  • Share the event link with your attendees
