Creating Events

Step-by-step guide to the event creation wizard.

Pro Tip
You can always edit your event after publishing. Changes are reflected immediately for all attendees.

Starting the Event Wizard

To create a new event, click the Create Event button from your dashboard or the navigation menu. This opens the event creation wizard, which guides you through setting up your event step by step.

Event Details

The first section collects basic information about your event.

Title (Required)

Give your event a clear, descriptive title. This is what attendees will see first, so make it meaningful.

Good examples:

  • "Game Night - January"
  • "D&D Session 12"
  • "Sarah's Birthday Dinner"

Tips:

  • Keep it under 200 characters
  • Include relevant context (month, purpose, etc.)

Description (Optional)

Add additional context about your event. This is a great place to include:

  • What you'll be doing
  • Any preparation needed
  • Special instructions or notes

The description supports basic formatting and will be shown to attendees when they view the event.

Location (Optional)

Where will the event take place? This could be:

  • A physical address
  • A venue name
  • "TBD" if location depends on poll results
  • Left blank for virtual-only events

Add a link to your virtual session room. Any URL works here:

  • Discord voice channels or servers
  • Zoom meeting links
  • Google Meet links
  • Roll20, Foundry VTT, or other VTT links
  • Any other URL

The link will be displayed prominently to attendees and included in finalization notifications.

Who Can See Your Event

Every event is invite-only. People get in through:

  • Your event's invite link (Copy link on the event page; it includes an invite code)
  • An email invitation you send from the event page
  • Membership in the moot the event belongs to

Anyone else who opens the event's address sees "This event is invite-only" and is asked for an invite link. Links to events published before October 18, 2026 keep working without a code until the event has ended (an event with no date at all: until November 17, 2026).

Max Attendees (Optional)

Set a capacity limit for your event. When the limit is reached:

  • New attendees can still view the event
  • They cannot submit responses
  • You can increase the limit at any time

Adding Polls

Polls are questions that gather input from your attendees. Every event needs at least one poll.

Adding Your First Poll

  1. Click Add Poll in the polls section
  2. Select a poll type (see Poll Types for details)
  3. Configure the poll options
  4. Repeat for additional polls

Poll Types Overview

TypeBest For
Date SelectionFinding the best time
Single ChoiceQuick decisions
Multiple ChoiceSelecting multiple options

Poll Limits

The number of polls you can add depends on your subscription tier:

  • Entling: A limited number of polls per event (see Pricing)
  • Ent: Unlimited polls

Saving and Publishing

Once you've configured your event, you have two options:

Save as Draft

Keep the event private for later editing. Drafts:

  • Are only visible to you
  • Don't count toward monthly limits
  • Can be edited unlimited times
  • Stay in draft until you publish

Publish

Make the event live and start collecting responses:

  • Generates a shareable link
  • Sends notifications (if configured)
  • Counts toward your monthly event limit
  • Attendees can immediately respond

Sharing Your Event

After publishing, you'll get a unique event link like:

https://eventmoot.com/events/your-event-slug

Share this link with your attendees via:

  • Direct message
  • Email
  • Social media
  • Group chat

Attendees can respond without creating an account (anonymous responses are supported).

Running an Event Together

You don't have to run an event alone. Co-organizers can help, and on a Moot's event so can the Moot leader and Moot admins. They can:

  • Edit the event and share its invite links
  • See who voted for what, and the attendee list
  • See who hasn't answered yet, and send them a reminder

Finalizing, cancelling and deleting the event, and confirming who attended afterwards, stay with the organizer.

Run Again Next Week or Duplicate

To plan the next one, open an event's actions and choose:

  • Run Again Next Week - a copy with every date and time moved one week later, ready for next week's session
  • Duplicate - a copy with the same dates

Either way you get a new draft with the same details, settings and polls, and none of the votes, attendees or invitations. Dates that would already be in the past are left out. Check it over, then publish it.

Event Templates

If you create similar events regularly, save time with templates:

  1. Enable Save as Template when creating
  2. Give your template a name
  3. Reuse it for future events

Templates preserve:

  • Poll structure and options
  • Default settings
  • Description format

Templates are available on all plans.
