Setting Up Your Availability
Configure your global availability settings and preferences.
First Time?
Accessing Availability Settings
Open Availability in the sidebar, or go to Settings > Availability.
You can also get there from your Dashboard using the Availability widget.
Initial Setup
When you first set up your availability, you'll go through a quick wizard:
Step 1: Set Your Timezone
Your timezone determines how times are displayed and stored:
- Select your timezone from the dropdown
- This should match where you typically are when playing
- You can always change it later
EventMoot uses your browser's timezone as the default, but you can override this if needed.
Step 2: Customize Time Slots
Time slots are named periods that make scheduling faster. The defaults are:
| Slot | Default Hours |
|---|---|
| Morning | 7:00 AM - 12:00 PM |
| Afternoon | 12:00 PM - 5:00 PM |
| Evening | 5:00 PM - 9:00 PM |
| Night | 9:00 PM - 2:00 AM |
To customize:
- Click on any time slot
- Adjust the start and end times using the time picker
- Save your changes
Changing a slot's hours applies to every day you've chosen that slot, and scheduling uses the new hours straight away. Reset to defaults puts all four slots back to the hours above.
Most gaming groups meet during Evening or Night, but feel free to adjust these to match when you're actually free.
Step 3: Set Your Weekly Pattern
Select which time slots you're available for each day:
- Click on any day (Monday, Tuesday, etc.)
- Toggle the time slots you're available during
- Use the quick-select buttons for common patterns:
- Weekdays - Selects Monday through Friday
- Weekends - Selects Saturday and Sunday
- All - Selects every day
- Clear - Removes all selections
Availability Preferences
Beyond your schedule, you can configure a few preferences:
Buffer Time
Buffer time adds padding between events:
- Go to Settings > Availability > Settings tab
- Set your buffer time (0-60 minutes)
- This time is blocked before and after your sessions
Buffer time helps when you:
- Need time to set up your gaming space
- Want a break between back-to-back games
- Play in person and need travel time
Auto-Decline Conflicts
When enabled, EventMoot can automatically decline event invitations that conflict with:
- Your existing finalized sessions
- Your unavailable times
- Your buffer time preferences
This prevents accidentally double-booking yourself during convention season or when you're in multiple campaigns.
To enable:
- Go to Settings > Availability > Settings tab
- Toggle Auto-decline conflicts
- Choose your conflict handling preference
Availability Status
Your availability status shows whether you have everything set up:
Fully Configured
- Weekly pattern is set
- Timezone is confirmed
- At least one time slot is selected
Partially Configured
- Some settings are missing
- You'll see prompts to complete setup
Not Configured
- No availability set
- Your Moots can't use your availability for smart scheduling
Syncing with Calendars
EventMoot can connect to external calendars to check for conflicts:
Google Calendar Integration
- Go to Settings > Calendars
- Click Connect Google Calendar
- Authorize EventMoot to read your calendar
- Select which calendars to sync
Once connected:
- Events from your calendar are checked for conflicts
- Calendar events don't change your base availability
- The sync updates automatically
This is great if you have other commitments (family events, classes, etc.) that might conflict with game sessions.
Visibility Settings
Control who can see your availability:
In Moots
- By default, Moot members can see when you're available (not specific times)
- Group admins can see your detailed availability for scheduling
- You can limit visibility per group
On Events
- Event organizers see your availability for scheduling
- Other attendees see combined group availability (not individual schedules)
Troubleshooting Setup
My timezone is wrong
- Go to Settings > Availability > Settings tab
- Click the timezone dropdown
- Search for your correct timezone
- Save changes
Times appear shifted
This usually happens with Daylight Saving Time transitions. EventMoot handles this automatically, but if you notice issues:
- Verify your timezone is correct
- Check that your time slots haven't drifted
- Contact support if the issue persists
Setup wizard doesn't appear
If you've partially set up your availability before:
- Go directly to Settings > Availability
- All options are available on this page
- The wizard is only for first-time setup
Best Practices
Be Realistic
- Don't mark yourself available 24/7
- Account for meals, sleep, and life outside gaming
- It's better to be conservative and expand later
Update After Life Changes
- New job or class schedule? Update your pattern
- Moving to a new timezone? Update that too
- Seasonal changes (summer break, holidays) might need updates
Use Exceptions for One-Offs
- For single-date changes, use exceptions
- Only modify your weekly pattern for permanent changes
- This keeps your availability accurate for future scheduling
