Attendance Tracking
Track who attended after your event concludes.
Pro Tip
Overview
After your event is finalized and the date has passed, you can track actual attendance. This helps you:
- Know who showed up vs. who committed
- Improve future scheduling predictions
- Maintain records for recurring events
- Identify patterns in your group
Accessing Attendance
Navigate to your finalized event and click the Attendance tab. You'll see:
- List of all respondents
- Their original response (Yes/Maybe/No)
- Space to record actual attendance
Recording Attendance
For each attendee, you can mark their actual attendance:
| Status | Meaning |
|---|---|
| Attended | They showed up as expected |
| No Show | They didn't attend despite saying Yes |
| Cancelled Early | They notified you in advance |
| Cancelled Late | They cancelled at the last minute |
| Declined | They said No and didn't attend |
Why Track This?
Recording attendance feeds into EventMoot's smart scheduling system:
- Better Predictions - Learn who typically shows up
- Reliability Scores - Identify dependable attendees
- Group Patterns - Understand your group's behavior
- Historical Data - Reference for future planning

Smart Scheduling Benefits
When you track attendance consistently, EventMoot learns:
- Who's reliable - Some people always show up when they say Yes
- Who's flaky - Some people frequently cancel or no-show
- Time patterns - Some times work better for your group
- Group dynamics - How many people typically commit vs. attend
This data powers smart scheduling suggestions in Moots.
Best Practices
Track Promptly
Record attendance soon after the event while it's fresh:
- Memory is accurate
- Patterns are captured immediately
- Data stays relevant
Be Consistent
Track all events, not just some:
- More data = better predictions
- Incomplete tracking skews results
- Build the habit
Use Notes Sparingly
Add notes only when relevant:
- Reason for late cancellation
- Special circumstances
- Anything unusual
Privacy Considerations
Attendance data is:
- Visible only to event organizers
- Used for aggregate predictions
- Never shared with other users
- Deletable upon request
Attendees cannot see their own reliability scores or how their attendance has been tracked.
Moots Integration
For events within a Moot, attendance data is especially valuable:
- Feeds into group availability predictions
- Helps suggest optimal session times
- Tracks patterns across recurring events
- Improves smart scheduling accuracy
See Moots and Recurring Events for more on how this data is used.
