Recurring sessions in detail

The rules behind Recurring sessions, one question at a time.

Clashes

The weekly form flags weeks that clash with a decided event, another schedule's week, a time members are voting on, or a time a vote schedule will offer that week, and says how many of the next weeks clash with something in this moot. You can still save; clashing weeks stay marked on the Recurring and Events tabs and on the session's page. A clash with a decided event or another weekly schedule offers Skip this week.

Members aren't told about an unpublished poll: the note says the schedule's poll that week will offer the same time (or an overlapping time), and that the poll isn't posted yet. A draft's page shows the note to those who can publish it. Your own draft is named on your rows only: "Clashes with Session 12 · your unpublished draft". A posted session's notice names another event at the same time ("Same time as …"), and the event pages show it too.

A vote schedule's preview marks each period that would offer a clashing time ("Clashes with Board game night") and says how many of the next 5 polls clash with something in this moot, and with what. If a vote picks it, the moot leader and moot admins are asked whether to skip the other schedule's week. Smart Scheduling polls "may" clash, as they're checked over preferred days and times.

When voting closes

Times that have already started are left out of a draft. A draft takes the schedule's Voting closes time, which you can change or turn off before you publish; if that has passed or is under an hour away at publishing, it's reset by the same rule. It closes an hour before the first time only in three cases: a draft published that late; one an existing schedule makes late, say, resumed on a period's first day; and a Poll Creation Lead Time too short for Voting closes, which Step 3 warns about. When a draft is made late, its page tells the people who run it why voting closes early; members see only when voting closes.

Skipping and moving weeks

A skipped week that isn't posted yet won't be (you can undo that before its time, unless a session has since moved onto that time: the message says which). A posted week is cancelled for good: its page and its card in your events list are marked Skipped, the page says who skipped it and why, and everyone who was told about it or answered is told. If someone else skips your session, you're told too.

A moved week's new date and time are in the moot's zone; when your clock differs, the fields name the moot's city ("New date (New York)"), as does the title ("Move Fri, Nov 20 (Thu, Nov 19 in New York)"). It keeps its length and must stay within a week of its usual time; moving it back undoes the move. If it's posted, everyone is told and can change their answer. If the new time clashes with something in the moot, the dialog says so; you can still move it. An unposted week is posted the usual number of days before its new time or its usual one, whichever comes first, and the message after the move says the new time, on your clock, and when it's posted. If you then skip a moved week, its card lists it as Skipped on the day you moved it to.

A long note shows its first three lines, with More to read the rest. Moving a moved week again starts from its note, so it keeps its note unless you change or clear it.

Editing a schedule

Editing never undoes a skip or posts a week twice: Next sessions says "Skipped · stays skipped" for a skipped week, "Already posted · not posted again" for one that's posted, and shows a week you moved at its moved time, with "Moved · usually … · stays moved". If you change the time or days while a session is posted, the Already posted box asks whether it moves to the new time (everyone it was sent to is told) or stays as posted; one you keep reads Kept at the old time. Changing the weekly time tells everyone the new time in their own zone, and when that differs from the moot's, the time for them from the next clock change. A skip or move of a week the new days don't have is listed before you save, and dropped. If the moot's usual time matched, changing it offers Also make this the moot's usual time, ticked.

Pausing and deleting

A paused schedule makes nothing new; what's posted stays. If two polls in a row are never published, EventMoot pauses the schedule, tells you, and its card says why. Resume starts it again, and only polls made after that count.

In the moot's events list a poll you haven't published yet says "Draft – not visible to members". Only a draft's organizer (for a schedule's poll, whoever set up the schedule) and the moot leader and moot admins see it, and any of them can publish a schedule's poll, from its card on the Recurring page or with Publish event on its page. Each poll a schedule made, and each session it posts, counts toward the moot leader's monthly event allowance, whoever publishes it, on a plan that has one; the notice to members names who published it.

On Delete, posted or decided sessions keep their RSVPs and an open poll stays open. The dialog offers Also delete the unpublished draft, ticked. Left unticked, the draft stays as a one-off.

Who's told about changes

Pausing, resuming, retiming or deleting a schedule tells its members, the moot leader and whoever set it up. For a vote schedule only those two hear, plus, on delete, members who answered its open poll or are going (or maybe going) to a session it decided; that notice lists the sessions still on, with everyone's answers, and says open polls stay open. An unread notice gathers later changes; a skip and its Undo skip cancel out. The email follows within the hour, once nothing has changed for 15 minutes, unless you've read the notice, muted the moot or left it. Skips follow your cancellation email switch, anything else your event updates switch.

A change to an unposted week within four weeks tells members if the schedule tells them when sessions are posted; the moot leader and whoever set it up always hear when someone else skips, moves or brings back a week, and are the only ones told while it's paused. Muted members aren't told about unposted weeks.

Schedule cards

Above the cards, How schedules here work explains each kind to you: members read that they vote and an organizer picks the date.

A weekly card has a Same time badge (and, beside a vote schedule, a line above its counts with the next session). Each week shows how many are going, when it will be posted, Skipped or Cancelled. A moved week says Moved · and its usual time. A session posted for a day the schedule no longer meets reads "Posted before the schedule changed"; while paused, the weeks it would have posted read "Not posted while paused".

A vote card has a Vote badge (and Smart when Smart Scheduling picks the times) and shows its days and time as the weekly card does. It counts periods Polling Now, Drafts to publish, Polls to come and Finalized, lists open polls under Voting now, each with when it closes ("Closes Wed, Nov 4, 7:00 PM EST", on your own clock) and Open poll, and shows the next period with the day it starts ("Starts Thu, Nov 12"). Only the moot leader and moot admins also see when the next period's draft is due ("Draft due: Nov 4, 2026") or was made ("Draft made: Oct 28, 2026 · not published"), and Drafts to publish, which counts only the polls your schedules made.

Sessions and polls a schedule made

For members, a schedule's session or poll says so under its title ("Part of Campaign night, a vote each week in Thursday Crew"), with See schedule, which opens the Recurring page at that schedule's card. Anyone else with a weekly session's link sees how it repeats, without the moot's name: "Repeats every Thursday (New York time). This link is for this session only." (no zone if it's yours). A draft is titled with the schedule's name and its days ("Campaign night · Nov 5 – 11") and says which period it's for. It has no Run again, since the schedule makes the next one; Duplicate stays. A deleted schedule's sessions and polls become one-offs.

Timeline and Availability

The Timeline tab shows every week of each schedule in your zone, including weeks Not posted yet and Moved weeks on their new day. A week skipped before it was posted, or a moot away date, shows as Skipped, with its reason; a session skipped after it was posted shows as Cancelled and opens its page (the legend's Skipped or cancelled week). For a vote schedule, the moot leader and moot admins see Draft due on the day each draft is made (Draft due today until it's made); members see Not posted yet on the day of the poll's first time until it's published. Then it shows Voting while it's open, with when voting closes ("Vote by Wed 6:00 PM" on a phone), Voting closed until the date is picked, then the decided time. A week that clashes with something in the moot is marked, and its details say with what. Every entry can be opened from the keyboard. Back from a session or poll returns you to the same month on the Timeline. Moving to another month or week announces it.

On Availability, the moot's heat map, Add away dates marks days you're away; the moot leader and moot admins also see Add moot away dates, which needs one schedule picked (with All schedules it says "Pick a schedule first") and isn't shown in a moot with no schedules yet. Away days read "Away all day" or "Away part of day". A day's badge counts its sessions and its polls apart, such as "1 session · 1 poll".

Generate events

Generate events makes any sessions or polls due now and says what it made: sessions it posted, and draft polls waiting for you to publish, or "Nothing new to post". When every schedule is paused it says so instead. EventMoot does this on its own every hour. The moot leader and moot admins see it.

When the moot leader's plan ends

The moot leader and moot admins can still skip, move or undo a skip on a week, Pause or Delete a schedule, and use Generate events, but Edit, Resume and New schedule aren't offered until the moot leader is back on Ent, so EventMoot asks before pausing a schedule it couldn't resume.
