Discord Integration

Set up Discord webhooks to receive EventMoot notifications in your server.

Info
Discord webhooks require an Ent subscription. Entling users can upgrade from the pricing page.

Overview

EventMoot supports Discord webhooks for receiving notifications directly in your Discord server. Get notified about poll responses, event updates, finalizations, and more - right where your group already hangs out.

Key Features

  • Rich Discord embeds for all notification types
  • Per-webhook notification preferences
  • Two scopes: Personal (your notifications) and Group (Moot-wide, admin-only)
  • Rate limiting with smart queuing
  • Health monitoring and auto-recovery
  • Encrypted webhook URL storage

Tier Requirements

TierDiscord Webhooks
EntlingNo webhooks
EntUp to 3 webhooks

A trial counts as Ent. If your plan ends, your webhooks are paused, not removed: they stay in your settings, where you can still remove them, but nothing is posted to them. Moot webhooks follow the plan of the person who connected them. They start posting again when the plan comes back.

Setting Up Discord Webhooks

Step 1: Create a Webhook in Discord

First, create a webhook in your Discord server:

  1. Open your Discord server where you want notifications
  2. Click the server name at the top-left
  3. Select Server Settings from the dropdown
  4. Click Integrations in the left sidebar
  5. Click Webhooks (or "View Webhooks")
  6. Click New Webhook or Create Webhook

Configure the webhook:

  • Name: Give it a descriptive name (e.g., "EventMoot Notifications")
  • Channel: Select where notifications will appear
  • Avatar (optional): Upload a custom image

Finally, click Copy Webhook URL. The URL format is:

https://discord.com/api/webhooks/[ID]/[TOKEN]

Important: Keep this URL private! Anyone with it can send messages to your channel.

Step 2: Connect to EventMoot

  1. Go to Settings → Discord in EventMoot (or visit /settings/discord)
  2. Click Add Discord Webhook
  3. Fill in the details:
    • Webhook URL (required): Paste your Discord webhook URL
    • Display Name (required): A friendly name to identify this webhook
    • Server Name (optional): Your Discord server name
    • Channel Name (optional): The channel name for reference
  4. Click Add Webhook

EventMoot will verify the webhook URL is valid before saving.

Step 3: Test the Connection

  1. Find your webhook in the list
  2. Click the Test button
  3. Check your Discord channel for a test message

If you don't see the message:

  • Verify the webhook still exists in Discord
  • Check channel permissions
  • Ensure the webhook URL is correct

Step 4: Configure Notifications

Each webhook can be customized to control which notifications it receives. Click Edit on a webhook to configure:

Available notification types:

  • Poll responses - When someone responds to your event poll
  • Event updates - When event details are modified
  • Event published - When a new event is published
  • Event finalized - When an event date/time is confirmed
  • Event cancelled - When an event is cancelled
  • Event reminders - Upcoming event reminders
  • Invitations - When you're invited to an event or Moot
  • Post-event surveys - When feedback is requested after events
  • Message board - New posts, replies, and reactions
  • Subscription updates - When your subscription tier changes
  • System notices - Important system announcements

Webhook Scopes

Personal Webhooks

Personal webhooks send notifications about your own activity:

  • Events you created or are attending
  • Moots you're a member of
  • Direct invitations to you

Any user can create personal webhooks (with an Ent subscription).

Moot Webhooks

Group webhooks send notifications for an entire Moot:

  • All events in the Moot
  • All message board activity
  • Member joins and leaves

Only Moot Admins and Owners can create group webhooks.

Troubleshooting

Webhook not receiving messages

  • Verify the webhook exists in Discord (Server Settings → Integrations → Webhooks)
  • Check that the channel hasn't been deleted
  • Ensure you haven't exceeded the rate limit (30 messages/minute)
  • Check webhook status in EventMoot settings (may be auto-disabled)

"Forbidden" or permission errors

  • Ensure you have "Manage Webhooks" permission in Discord
  • For group webhooks, verify you're an Admin/Owner in the Moot
  • Check that the webhook URL hasn't been regenerated in Discord

Webhook auto-disabled

Webhooks are automatically disabled after 10 consecutive failures. This usually happens when:

  • The webhook was deleted in Discord
  • Channel permissions changed
  • The webhook URL was regenerated

To fix:

  1. Check/recreate the webhook in Discord
  2. Click Reactivate in EventMoot settings
  3. Send a test message to verify

Security & Privacy

  • Encrypted storage: All webhook URLs are encrypted with AES-256-GCM
  • URLs never displayed: Once saved, the full URL is never shown again
  • Easy to revoke: Delete the webhook in Discord if compromised
  • Rate limited: Prevents abuse and respects Discord's limits

Best Practices

For Gaming Groups

  • Create a dedicated #scheduling channel for EventMoot notifications
  • Use group webhooks so everyone sees event updates
  • Enable only essential notifications to avoid spam

Notification Strategy

  • High activity Moots: Disable poll response notifications, keep finalizations
  • Small groups: Enable all notifications for full visibility
  • Personal use: Use personal webhooks for events you organize

Channel Organization

Consider separate channels for different notification types:

  • #game-schedule - Event published, finalized
  • #discussion - Message board notifications
  • #admin - System notices, subscription updates
